At VacationsPod, we understand that plans can change. We have crafted our cancellation policy to be as fair as possible while accounting for the commitments we make to our partners (airlines, hotels, tour operators).
1. General Policy
All cancellation requests must be submitted in writing, preferably via email to Info@vacationspod.com. The date of receipt of the cancellation request will be the basis for determining the applicable cancellation charges.
Cancellation charges are based on the total package cost and are applied as follows (unless specified otherwise in your specific tour agreement):
- More than 60 days before departure: Deposit amount (booking fee) is non-refundable.
- 59 to 30 days before departure: 50% of the total tour cost.
- 29 to 15 days before departure: 75% of the total tour cost.
- Less than 14 days before departure: 100% of the total tour cost (No refund).
2. Flight Bookings
Flight bookings are subject to the cancellation policies of the specific airline. Many promotional or "deal" fares are **non-refundable**. VacationsPod will assist in processing any eligible refund from the airline, but is bound by the airline's terms and conditions. Airline cancellation fees and a service fee from VacationsPod will apply.
3. Holiday Packages
Holiday packages involve multiple components (hotels, transfers, tours). Cancellation of a package may incur fees from each provider. The general policy (Section 1) applies, but may be superseded by stricter non-refundable policies from specific luxury hotels or tour operators, which will be communicated at the time of booking.
4. "No Show" Policy
If you fail to show up for your flight, hotel, or tour without prior notification, it will be considered a "No Show." No refunds will be provided for any unused services in this case.
5. Refunds
All eligible refunds will be processed within 15-30 working days from the date of the cancellation request. The refund will be made to the original mode of payment (e.g., credit card, bank account). Please note that processing times by banks can vary.
6. Amendments & Changes
Any changes to your booking (e.g., date change, name change) after confirmation are subject to availability and may incur amendment fees from both the airline/hotel and VacationsPod. We do not guarantee that any changes will be possible.
